Job Overview:

As a receptionist, you will be the face of first impressions for our firm by creating a warm and welcoming atmosphere for clients, visitors, and callers. As part of our staff, you will form a critical part of our team, by handling the front desk operations, providing administrative support, and assisting with intake. Primary Responsibilities:

  • Greet and direct clients, visitors, and vendors with a friendly and professional demeanor.
  • Answer, screen, and direct phone calls in a timely and courteous manner.
  • Manage scheduling of client appointments, meetings, and conference room bookings.
  • Assist with intake processes, including gathering initial client information and documentation.
  • Maintain office organization, including managing office supplies and keeping the front desk area tidy.
  • Assist with client intake forms and case management system data entry.
  • Prepare and distribute client correspondence, documents, and other materials as requested.
  • Perform general administrative tasks, including filing, photocopying, and scanning.
  • Ensure that all visitors and clients are comfortable and have a positive experience during their interactions with the firm.

Qualifications:

  • High school diploma required.
  • Associate’s degree preferred.
  • Required 2+ years of experience as receptionist or front desk attendant.
  • Experience in legal intake or an interest in learning intake procedures is highly desirable.
  • Excellent verbal and written communication skills with a professional and polite phone manner.
  • Ability to multitask and handle a volume of calls and visitors.
  • Strong organizational skills with the ability to manage competing priorities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and comfortable using office equipment (phones, copiers, etc.).
  • Friendly, professional, and approachable attitude with a commitment to client satisfaction.
  • A team player who is willing to assist with a variety of tasks to support the firm’s operations.
