Job Title: Receptionist/Administrative Support, High School

Department: Administration

Reports to: Director of Administration

Employment Type: Full-Time (35-40 hours per week)

Hourly Rate: $19-23, based on experience

Location: The Waldorf School of San Diego

Position Overview:

Under the Administrator, the Receptionist/Administrative Support staff is responsible for assisting students, faculty & staff, and parents throughout the day. Maintaining a clean and organized front office. Assisting with school events by monitoring ticket sales, creating work orders, helping faculty as needed, etc. Works closely with the admin team to plan and coordinate how we can best meet the needs of the faculty and students.

Essential Functions:

  • PARENT COMMUNICATION:
  • Coordinate logistics of parent-teacher conferences, and as-needed individual conferences. 
  • Attend parent/teacher conferences to support parents and faculty and ensure a smooth event. 
  • Coordinate parent concern meetings with appropriate faculty and other staff. Ensure follow-through and any needed documentation for each communication. 
  • Communicate daily messages to students from parents (Carpool changes, medical appointment changes, supplies left at front desk). 
  • Collect funds from families for supplies and/or events. 
  • STUDENT SUPPORT:
  • Assist Faculty with all events such as Cabaret, Art Show, Senior Projects, Open House, Plays, Grad Night, Beach Day, Etc. 
  • Coordinate participation in all-school events, such as MLK assembly, opening and closing assemblies, all-school concerts and Holiday plays. 
  • Assist with school events by coordinating participation needs (shuttling students, organizing student travel, organizing equipment shuttling). 
  • Manage distribution and collection of all necessary student forms (Planned absence, transcript requests, dance guest forms). 
  • Collect and maintain all student driver’s insurance information (High School Faculty Support only). 
  • Coordinate all field trip paperwork, ensuring logistical arrangements and all required forms and health-related paperwork is complete prior to trip. 
  • Facilitate student sales such as yearbooks, ticket sales, etc. (High School Faculty Support only). 
  • Manage all student medications (store and dispense when necessary). 
  • ADMISSIONS AND REGISTRAR SUPPORT (High School Faculty Support only):
  • Create and distribute all required forms for students and parents for Welcome Back Night. Attend events to assist parents and students. 
  • Coordinate shadowing for all visiting applicants, including special events for 8th-grade students 
  • Coordinate parent classroom observation visits 
  • GENERAL ADMINISTRATIVE AND FACULTY SUPPORT:
  • Attend weekly admin meetings, weekly faculty meetings and once a month full faculty. 
  • Create quarterly class schedules
  • Attend evening and weekend events as needed. 
  • Keep part-time teachers updated on any schedule changes and substitute teachers. 
  • Assist with coordination of visiting teachers (Schedule, Supplies, Room Set-up). 
  • Coordinate School supplies for Faculty (Classroom supplies, copier room, student planners, etc.). 
  • Support Faculty with set-up and breakdown of laptops/AV/Projectors. 
  • Manage front desk phones and messages. 
  • Track daily and ongoing student attendance and report to faculty. 
  • Keep all student emergency contact info up to date as well as all student medical info up to date - Supply first aid when necessary. 
  • Coordinate all medical supplies and ensure appropriate areas/backpacks are full and not expired.
  • After school Club paperwork 
  • SEVIS PROGRAM (International Study & Exchange:
  • Assist as a DSO (Designated School Official)
  • Update, save, and submit changes to the information for schools
  • Create, save, update, and submit records for students and dependents
  • Print student and dependent Forms I-20 and draft Forms
  • Connect with Homestay families

Qualifications:

Education & Experience:

  • Excellent written and verbal/interpersonal communications skills 
  • Ability to communicate, and generally interact with people in a positive way 
  • Professional and positive attitude 
  • Strong organizational and problem-solving skills 
  • Ability to analyze results, plan for the future, make good decisions, and take responsibility
  • Strong retail business acumen 
  • Working knowledge of PC Windows applications 
  • Flexible scheduling availability; reliable transportation 
  • Degree (or equivalent) (preferred) 
  • Experience working collaboratively and courteously as an effective team member
